Notification: A signature is not required to fill out your online application. However, you’ll have to sign your name on the printed copy of the form once you have collected the result of the search or certified copies.

Retrieving the Search Results or a certified copy of birth Entry

For applications submitted in person:

If you have submitted your application in person, you must take the search result along with a certified copies of the entry in the death registry where you submitted your application.

For applications sent via post:

If you have submitted your request via postal mail the search results and/or certified copies of the document in question will be sent to your address via post.

For online applications:

If you made the request via internet, then you are obliged to take the search result as well as the certified copy of the relevant entry at the registry you have chosen. The date for collection is listed upon the receipt acknowledging the request.

Take note that if you fail to take the search result or the official certified copy of relevant entry at the registry office from which you are required to pick the documents within six months of the time the document was made ready to be picked up, the entry will be canceled.

Required Documents For Obtain Certified Copy of Death Record 

For applications created in the person of:

  • Hong Kong identity card or an official travel document that is valid.
  • If you are applying for an official duplicate of the death record you must present an original copy or photocopy that is certified of the certificate or the results from a previous investigation of death records. In other cases, you’ll have to make an application for an investigation of death records first.

For applications that are submitted via post:

A Certified Copy of the Death Record

  • Local Applications : HK$140 for each copy
  • Overseas applications: HK$275 for each copy, plus an additional amount equal to airmail postage cost at the standard rate

payment methods

For applications developed in the individual:
Payable in cash, crossed cheques or cashiers’ orders made in Hong Kong dollars payable to “The Government of the Hong Kong Special Administrative Region”.

For applications that are submitted via mail:
The payment can take forms of crossed check or cashiers’ order (for application locally) as well as banks draft (for overseas applications) in Hong Kong dollars payable to “The Government of the Hong Kong Special Administrative Region”. Do not make payments in cash.

For online applications:
For the search of birth records, the fee must be made online (VISA, MasterCard or PPS) If you require an official copy of a death record The application fee is due when you make the collection at your chosen registry.

Processing Time

For applications developed in the person of:
It can take around 10 minutes for processing an in-person application in the front counter. If the death record requested has been transformed into an electronic record The search result as well as an official duplicate of the deceased certificate is issued in less than 10 minutes. If the death record is not yet transformed into computer records, it is necessary to wait:

  • 9 working days to complete the search of death records
  • 9 working days to issue for a certified duplicate the death record (if the search for records are not in play)
  • 14 working days to review of records of deaths as well as the issue an official copy an entry in the death register.

Instructions

To get an authentic replica of a deceased record it is required that you present either the photocopy or original of the death record that was previously given to you or the results of a previous searches in death registers. If you do not possess these documents, or your death registry number printed on the document is not visible then you’ll have to submit a request for the search of death records first instance.

You can submit your application to search for death records along with an official copy of the death entry in person via mail or online.

Two kinds of searches are that are conducted:

Special Search

  • A search can be conducted for any record that is related to an identifiable person (i.e. the exact name of the deceased and date of birth, if available] may be used to conduct this search). The search performed cannot exceed a time period of five years.
  • If the applicant does not specify otherwise, applicant the investigation will take place based on the date of death specified (e.g. 1990). In the event that no matching record is found for the date of death given in the search, it is conducted with 2 years prior to and 2 years after the date of death in a time span of 5 years. (by using the example above, i.e. 1988-1992)

General Search
