Notification: A signature is not required to fill out an online form. But, you’ll need to sign your name on the printed copy of the form after you’ve collected the result of the search or certified copies.

The collection of the search result or a Certified Copy of Birth Record

For applications submitted in person:

If you made your application in person, take the search result along with a certified copies of the entries in the birth register where you submitted the application.

For applications that are submitted via post:

If you have submitted your request via postal mail the search result as well as a certified copies of the entry relevant will be sent to you via post.

For online applications:

If you made the request via internet, then you are obliged to take the search result as well as the certified duplicate of the record concerned at the appropriate registry. The date of collection is indicated upon the receipt acknowledging the request.

Take note that if you don’t get the search result, and/or the official certified copy of relevant entry at the registry office from which you are required to collect them within six months from the date it became available to pick up, the entry will be canceled.

Required Documents For Obtain Certified Copy of Birth Record

For applications created in the individual:

  • Hong Kong identity card or an official travel document that is valid.
  • If you are applying for the certified copy of the birth certificate you must provide either the photocopy or original of the certificate of birth record or the results of a previous search for birth records. In other cases, you’ll have to make an application for a search on birth records in the first place.

For applications that are submitted via post:

To submit applications online:

  • Hong Kong Identity Card or an official travel document that is valid
  • Printout of acknowledgement for online application
  • The original or photocopied registration certificate or the results of the previous record search in the event that an application for the search of birth or death records has not been submitted.
  • For application to an organisation The letter of authorisation of the organisation

A Certified Copy a Birth Record

  • Local Applications: HK$140 per copy
  • Overseas applications: HK$275 for each copy, plus an additional amount equal to airmail postage at the regular rate

Pay Methods

For applications created in the person of:
The payment can be made with cash in cash, crossed cheques or cashiers’ orders with Hong Kong dollars payable to “The Government of the Hong Kong Special Administrative Region”.

For applications that are submitted via mail:
Payments can be made in forms of crossed check or cashiers’ order (for application locally) and the bank draft (for overseas applications) in Hong Kong dollars payable to “The Government of the Hong Kong Special Administrative Region”. Do not make payments in cash.

To submit applications online:
To search for birth records, the fee must be paid via the internet (VISA, MasterCard or PPS) For the certified duplicate of the birth record the fee for application is due upon collection at the registry you choose.

Instructions

  • To get an official copy of a birth certificate, you must present either the photocopy or original of the birth certificate that was previously issued to you or the result of a previous searches for birth record. If you don’t have these documents, or you cannot find the registration numbers printed on the documents is not readable it is required to make an application for a search on birth records.
  • You can submit your application to search birth records and a signed copy of the birth entry in person, via post or via the internet.
  • Two kinds of searches are that are conducted:

Special Search

  • A search of any item that pertains to an identifiable person (i.e. the exact name of the person and birth date (if available) is possible for your search). The search is not longer than a maximum of five years.
  • If the applicant does not specify otherwise, candidate, the examination will occur based on your birth date specified (e.g. 1990). If no record is found for the birth date stipulated in the search, it will be performed with two years preceding and two years following the year of birth given in the search, for a total period of five years. (by this example, i.e. 1988-1992)

General Search

Searching for any information that is not a specific search, for example, when it is related to someone who’s personal information cannot be identified (i.e. the individual’s name as well as their specific date of birth cannot be used to your search).

The Document is required

  • A Birth Certificate includes the name and gender of a person. It also reveals the date and time of birth. It’s issued once you have registered the birth of your child.
  • For Hong Kong, a certified birth certificate is given as proof that the child’s birth was registered properly.
